Terms & Conditions

These terms apply to the hire of LightArches equipment and services. They’re written to be fair and clear for both private and corporate events.

1) Bookings & deposits

A booking is confirmed once we receive written acceptance of the quote and any required deposit. Dates are not held until confirmed.

2) Payment

Payment terms will be stated on your quote/invoice. Late payments may affect delivery or on-site operation.

3) Site access & venue requirements

  • Client/venue must provide reasonable access for load-in, setup, testing, and strike.
  • Power availability and placement must be agreed in advance.
  • Where venue H&S procedures apply, we will coordinate and comply.

4) Operation & safety

Equipment must not be moved or altered by anyone other than LightArches staff unless agreed in writing. We reserve the right to pause operation if safety is compromised.

5) Client materials (music/video/branding)

If you provide audio/video/branding, you confirm you have the rights to use it. We’re not responsible for rights clearance of client-supplied materials.

6) Cancellations / rescheduling

Cancellation terms depend on lead time and are set out in your quote. Where possible, we’ll work with you to reschedule to a mutually available date.

7) Damage & liability

Client is responsible for damage caused by guests/third parties or unsafe conditions. We are not liable for indirect losses (e.g., lost profits). Our total liability is limited to the fees paid, except where law requires otherwise.

8) Force majeure

We are not liable for failure to perform due to events outside our control (e.g., severe weather, venue closure, power failure, transport disruption). We’ll communicate promptly and seek practical alternatives.

9) Complaints

If something isn’t right, please tell our on-site lead immediately so we can fix it quickly.
